Pilot: 1 on 1
  1. Recap of where we are in the template
  2. Update on your strategy
    1. Jasline has been doing the marketing currently. They have the kids (majority) on the platform now but trying to get them to be more active on it.
  3. Talking through the analysis step
    1. Annie and Rob went through the final sections with Jasline and Vannessa to fill out on their own time.
  4. A plan for ongoing monitoring of your improvement goal
    1. Annie and Rob went through the final sections with Jasline and Vannessa to fill out on their own time.
  5. Feedback questions (responses listed below)

Feedback questions:

  • How did the pilot help your team to refine CQI processes internally, if at all? If you used the template, did you find it helpful? Would you suggest any refinements?
    • Vannessa did not think they defined their process well because they couldn’t connect with the kids due to the pandemic and being a new grantee trying to get their work together. They were so busy getting ready and in crisis mode while they are trying to meet the metrics that they didn’t get chances to reflect and develop techniques. Jasline agreed with this and didn’t provide other input.
  • What parts of the CQI cycle in the template resonated with you and which felt less practical or relevant?
    • Too much information in the template and the pilot overall. Overwhelming.
      • Needs to be not a long document. Separate it out into different parts within different, unique documents. Ex. Parts 1-2 on one document, Part 3 on another, etc.
      • Would also be better if the document was on a easier platform like Google Docs, which they can access easier.
    • They found the information and process helpful, but Vannessa didn’t like the larger meetings. She doesn’t have much time on her hands and needed more time.
    • Jasline enjoyed the group settings. She found them relatable being with other groups with similar issues and thought it helped overall. The root causes section allowed them to fine tune their strategy

Consider: Setting an improvement goal; understanding the challenge (e.g., fishbone, empathy interviews); developing learning questions for a road test/pilot; conducting a road test; road test reflection questions and next steps

  • How helpful were the cross-grantee and one-on-one coaching calls in advancing your CQI efforts?
    • The one-on-one calls were more helpful than the larger calls. Vannessa found them more effective. Jasline liked the group setting.
    • Were the number of calls too many, too few, or about right?
      • Vannessa thought the larger call settings was too much. Biweekly one-on-one calls were good. Jasline also agrees.
    • Do you feel like the concepts and topics discussed were relevant?
      • Absolutely for both.
    • Did you find value in talking to other grantees in this pilot?
      • Vannessa did not interact with other grantees and it was mostly on Jasline’s side of work. She had no comments for this.
      • Jasline did more of listening than speaking. For the most part it was a good balance. She thought there was good value in listening and sometimes participating with the rest. Although she preferred the one-on-ones more.
